The successful candidates will play a crucial role in ensuring the smooth operation of the office by supporting senior management, assisting employees with various tasks, and handling day-to-day administrative functions. Key Responsibilities:
The Admin Clerk/Assistant will be responsible for a wide variety of administrative and clerical tasks. Duties will include, but are not limited to:
- Providing comprehensive administrative support to senior managers, teams, and departments.
- Managing and coordinating office activities and operations to ensure efficiency and compliance with company policies.
- Assisting with the preparation of scheduled reports, presentations, and correspondence.
- Organizing and maintaining both physical and electronic filing systems to ensure easy access to information.
- Handling incoming calls, emails, and other communications in a professional and timely manner.
- Scheduling appointments, meetings, and conferences, including the preparation of necessary documentation.
- Ordering and managing office supplies and maintaining inventory levels.
- Assisting in the onboarding process for new employees by preparing workstations and providing orientation materials.
- Supporting finance departments with invoicing, petty cash management, and basic bookkeeping activities when required.
- Utilizing software tools such as MS Word, MS Excel, PowerPoint, and other office management systems.
- Ensuring office equipment is properly maintained and arranging for repairs when necessary.
- Performing other administrative duties as assigned by management to meet organizational needs.
Required Skills and Qualifications:
To be considered for this role, candidates should meet the following requirements:
- Matric Certificate (Grade 12) is essential; further administrative or secretarial training/certification is advantageous.
- Proven work experience as an Administrative Assistant, Secretary, Office Assistant, or similar administrative role.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize daily workload.
- High level of attention to detail and problem-solving skills.
- Strong proficiency in Microsoft Office Suite (MS Word, Excel, PowerPoint, and Outlook).
- Ability to work independently as well as part of a team.
- Professional attitude, appearance, and behavior.
