We now have an exciting opportunity available for a Human Resources Administrator to join our team at Greenstone Park in Gauteng.
Role Purpose:
The purpose of the HR Administrator role is to support the daily operations of the Human Resources department by performing a wide range of administrative tasks. This role ensures that the store’s HR processes run smoothly, accurately, and in compliance with internal policies and external regulations.
This individual will work closely with the Human Resources Manager and collaborate with various store departments to provide support with employee records, payroll data preparation, recruitment coordination, uniform management, and general administrative duties.
Key Responsibilities:
Human Resources Administration:
• Open and maintain personal files for all staff members and ensure accurate record-keeping.
• Organize and file HR-related documentation both physically and digitally.
• Administer official HR documentation, including employment contracts, confirmation letters, and policy updates.
• Ensure all employee information is updated and stored confidentially.
Recruitment Support:
• Assist in the coordination of recruitment activities, including arranging interviews and assessments.
• Prepare recruitment documentation and communicate with candidates.
• Administer background verification processes such as MIE checks.
• Issue regret letters to applicants who were not selected.
Onboarding and New Employee Setup:
• Support new employee onboarding by creating files, preparing welcome packs, and issuing access tools (e.g. name badges, uniforms).
• Coordinate induction programs and explain HR procedures and store policies.
• Ensure all required documents are collected and signed by new hires.
Payroll Data Support:
• Collect and collate payroll input data such as time and attendance, leave forms, and scheduling details.
• Ensure payroll submissions are accurate and submitted in accordance with the payroll schedule.
• Post working schedules on notice boards and update them as needed.
• Liaise with Heads of Departments (HODs) to follow up on rosters and timekeeping matters.
Uniform and Badge Coordination:
• Manage the ordering and distribution of employee uniforms and name badges.
• Keep an inventory of issued items and ensure proper return processes when staff leave or change roles.
Meeting Administration:
• Schedule HR-related meetings, disciplinary hearings, and training sessions.
• Take accurate minutes during internal meetings and follow up on action items.
• Prepare documents and presentations as needed.
Internal Communication and Notices:
• Post internal communications on notice boards, including schedules, announcements, and HR updates.
• Act as a liaison between the HR department and the rest of the store team to ensure messages are clearly and promptly delivered.
Employee Relations and Support:
• Be available to assist employees with general HR queries related to leave, policies, procedures, and documentation.
• Maintain an approachable and professional presence as the face of the HR department in-store.
• Support a positive workplace culture through excellent interpersonal engagement.
Ad Hoc Administration:
• Provide administrative support to the Human Resources Manager and other departments as needed.
• Participate in HR-related projects, campaigns, and wellness initiatives.
• Ensure HR documents are compliant with store policies and labor regulations.
Educational Requirements:
• Matric (Grade 12) or National Senior Certificate – Compulsory
• A qualification in Human Resources Management, Business Administration, or a related field – Beneficial

Working Conditions:
• This is a full-time, in-store position based at Greenstone Park, Edenvale, Gauteng.
• Normal retail hours apply, with flexibility required on weekends and public holidays as per store operational needs.
• The position reports directly to the Human Resources Manager.
